Job Summary:
NewEdge Advisors is looking for a highly skilled service and operations-minded Manager of Account Administration to manage the client account onboarding process, account maintenance and compliance oversight of new account data. The ideal candidate has excellent customer service skills, strong organizational skills and is self-motivated. The ability to streamline processes and procedures, breakdown complex information and processes into manageable tasks, and prioritize multiple job tasks is necessary to successfully perform the job functions. This position will report to the Managing Director of Operations.
Responsibilities:
Oversee the account administration team who support advisors by processing client account paperwork for multiple custodial and third-party platforms.
Manage the onboarding process for new clients, ensuring all advisory agreements, paperwork and additional documentation is complete and in good order.
Oversee the ongoing maintenance of client accounts, including updates to account information, processing transactions, resolving service alerts, handling advisor inquiries, closed accounts and missing agreements.
Identify inefficiencies in existing processes and implement improvements to enhance productivity and client service for custodial and third party/direct business accounts. Implement new technology and automation where possible.
Work closely with financial advisors, operations leadership, compliance officers, and other departments to ensure cohesive service delivery and effective communication.
Ensure that all account administration activities adhere to regulatory requirements and internal policies, including anti-money laundering (AML) and Know Your Customer (KYC) compliance & policies.
Generate reports on team performance, client accounts, and other operational metrics to inform decision-making and strategy. Analyze KPIs for client account onboarding including but not limited to IGO/NIGO rates at the custodian and RIA, processing time, data entry errors, etc.
Oversee administration of cyber security program enrollment and data.
Streamline third party/direct business new account process and client agreement experience.
Train new and existing teams on custodian and RIA processes & systems. Build and maintain strong relationships with advisors addressing any concerns they may have.
Be the main point of contact for the account administration team regarding escalated incidents requiring agreement review and approval.
Work closely with the other operations teams to ensure accurate, reliable account data is in Orion or other RIA & custodial systems for all account types in a timely manner.
Perform other account administration duties as assigned by NewEdge Advisors Operations leadership
Experience & Requirements:
Securities industry experience within organizations providing investment advisory services is required.
4 to 10 years of experience in operations, transitions, or client services.
Orion portfolio management system or similar program experience is preferred.
Skill in operating various office and software programs (i.e., Microsoft Office, Salesforce, Redtail CRM, Project Management systems).
Bachelor’s degree preferred.
SIE, Series 7, Series 65/66, Series 24 licenses are preferred.
Management experience is required.
FBI background check required
Qualifications:
An excellent candidate has hands on and has deep knowledge of the RIA and Broker Dealer space.
The candidate must have experience in a multi-custody RIA, preferably with Fidelity IWS & NFS, Goldman Sachs, Raymond James, LPL Financial and Schwab.
This individual must be a confident leader that is comfortable managing various stakeholders through complex problems
The candidate should be a great communicator with the ability to connect across all levels of the organization, critical vendors, and advisor firms
Strong interpersonal skills and an innate ability to build immediate rapport with financial advisors, administrative professionals, and colleagues
Developed understanding of the advisory business (e.g., billing, compensation, operations, compliance, etc.)
Proven ability to manage multiple projects at a time, while maintaining sharp attention to detail
Strong analytical skills and rigor around bringing discipline, rules, thoroughness, consistencies, and framework to processes and operations
Proactive self-starter and highly motivated, ability to work independently and drive change
The motivation and flexibility to work well in a high-growth environment where situations and environments can change quickly; willingness to tackle projects or initiatives independently
