Job Summary:

The Office & Events Coordinator with PensionPro Software is first and foremost a cultural force both internally and externally for PensionPro. The ideal candidate for this position is someone who genuinely enjoys engaging with people and improving their experience of being a part of the PensionPro team and the office environment.

The Office & Events Coordinator is responsible for all tasks related to the smooth functioning of the office and supporting the staff that report to it. This includes administrative functions related to the office in Harrisburg, PA, and leading the coordination of events including but not limited to, off-site, multi-day sales, networking and industry conferences, company led training sessions for users, and staff functions.

 

Duties/Responsibilities:

Office Culture

Recognize employee milestones (birthdays, work anniversaries, special events).
Maintain a high level of employee engagement through activities, recognition, and positive interaction.
Lead the Harrisburg office team in Community Engagement initiatives by planning meaningful events quarterly in alignment with corporate policy.

Event Coordination

Coordinate and execute all office events including lunches, on-site meetings, holiday events and other activities by coordinating logistics, placing orders, set-up, and clean-up as necessary.
Maintain inventory of give aways for sales and marketing events and reorder as necessary.
Collaborate with corporate marketing team to coordinate logistics, attendee registration, transportation, accommodations, meals, etc. of company events including client meetings, and off-site conferences where PensionPro staff has a presence.
Support event planning efforts and participate in day-of event execution.
Assist in executing company webinars and other virtual events as needed.

Administrative Support

Maintain kitchen inventory by identifying popular items, keeping items stocked, and re-ordering as necessary.
Assist with incoming mail and deliveries to appropriate individuals.
Maintain inventory of company swag and ensure all new hires receive appropriate items. Re-order items as necessary and make recommendations for new items in alignment with company need and the budget.
All shipping/mailing needs out of the Harrisburg office.
Support colleagues and management with various administrative tasks as requested.
Act as “office liaison” and coordinate all functions designated through corporate initiatives.
Additional duties and projects as assigned.

 

Qualifications:

2+ years of event coordination experience
Demonstrated event planning experience in corporate environment.
Passion for building relationships and enhancing the employee experience.
Excellent written and verbal communication skills and demonstrates positive demeanor.
Proficient in Microsoft Office Suite, particularly Excel and Word.
